Business Administration | Ascot Doors Ltd

Ascot Doors is one of the largest manufacturers and installers of individually made-to-measure high-performance retail, industrial and commercial door supplying all types of steel doors and shutters.
The Production and SHEQ Administrator reports directly to the Production Manager, and will predominantly ensure that all relevant Production, Installations, Health and Safety, Quality, and Compliance administration is completed on time and in full.


1) Specific Duties

Production:
 Responsible to create daily work-to-list plans for all members of staff to ensure work is done in the correct order to meet the manufacture completion dates.
 Input new work promptly to the production schedules, ensuring that all information is accurate, and then pass the work through to Production design to commence manufacture.
 Update the final departmental KPI figures and WIP values achieved.
 Liaise with other departments to ensure all components for manufacture are available for staff to work uninterrupted.
 Regularly liaise with the Installations department or Service & Repair Managers to update them on the progress of orders.
 Take formal notes during a range of meetings and create accurate minutes and action plans from meetings where required.

Transport:
• Learn the basics of the transport department to provide cover and support.
• Handle paperwork such as dispatch notes and driver delivery notes

Safety, Health, Environmental, and Quality (SHEQ):
 Input completed Hazard reports, Accident reports, or Accident investigations into the designated matrices.
 Support the Health and Safety Manager by keeping the SHEQ documentation up to date, ensuring the security and organisation of the digital files are maintained, and details of the documentation are checked for accuracy.
 Create Conformance certificates for both newly installed Fire and security doors, and Service and Repair doors, and ensure that the matrix reflects these certificates.
 Support the Health and Safety Manager when completing compliance documentation, audits, customer compliance requests, and online compliance site administration.
 Regularly review the Factory Maintenance matrix, ensuring that all planned maintenance tasks are carried out as per the schedule.
 Support the Health and Safety Manager in carrying out internal Audits, including creating reports, action plans, and updating the tracker.
 Ensure all Business compliance certification is kept up to date by reviewing the Certificate matrix regularly, and ensuring it is accurately maintained and up to date.
 Support maintenance of the physical document files for regulation and compliance.
 Input Non-conformance data into the NCR log, update the quality tracker and generate reports regarding outstanding quality issues.
 Collate and input information regarding Research and Development to support the creation of annual R & D claims.
 Update and maintain training matrices for the business, including adding new employees, updating training records, and highlighting training or certification expiry dates.
